What goes on a Spanish invoice?
A Spanish invoice is not just a payment request. It is a business record with specific required information. Get any field wrong and your client may not be able to reclaim IVA — or your gestor may flag problems at tax time.
Required fields on a Spanish invoice
Under Spanish invoicing rules, a factura must include:
Invoice number and series
A unique sequential number. For example: FAC-2027-001. Numbers cannot be reused or skipped.
Invoice date
The date the invoice was issued. This must match the period of the transaction.
Your name and NIF
Your full legal name and Spanish tax identification number.
Your business address
Your registered business address as used on your tax registration.
Client name and NIF/CIF
Required for all business clients. For individuals, required in certain cases — check with your gestor.
Client address
Required for business clients claiming IVA.
Description of goods or services
Clear enough that the transaction can be identified. Vague descriptions can cause problems.
Taxable base amount
The price before IVA is applied.
IVA rate and amount
Shown separately. Standard rate 21%, reduced 10%, super-reduced 4%.
Total amount payable
Including IVA and after any IRPF deduction where applicable.
Optional but useful fields
- Payment terms and bank details (for bank transfer invoices)
- Purchase order reference (if your client requires it)
- Project or job reference
- Invoice footer notes
- IRPF withholding (where applicable)

Common questions
Do I need my client's NIF/CIF on every invoice?
For business clients in Spain, yes. For private individuals, it depends on the amount and type of transaction. Your gestor can confirm the rules for your specific situation.
What if my client is outside Spain?
Different rules apply. The tax treatment of international invoices depends on the client's location, whether they are a business, and what you are selling. Confirm with your gestor before invoicing abroad for the first time.
Does the invoice have to be in Spanish?
No. Spanish law does not require invoices to be in Spanish. BillBee generates invoices in English, Spanish, or bilingual format.
